Service agreement
Terms of Use
These terms govern access to the iDefynMe public website, victim experience, and invitation-only staff services.
Effective: October 9, 2026
1. Agreement and eligibility
By using iDefynMe, you agree to these Terms of Use and the Privacy Policy. Staff services are available only to people invited by an approved participating organization. Staff users must act within their assigned role, training, organization policies, and legal authority.
2. Not an emergency or official-record service
iDefynMe is not an emergency service. It does not contact 911, dispatch responders, track an alleged offender, provide official custody alerts, or guarantee an advocate’s immediate response. If someone is in immediate danger, they should call 911 when it is safe to do so.
The service is not a substitute for legal, medical, counseling, or emergency advice. It is not an evidence repository, official police records system, or guaranteed system of record unless a written agreement expressly says otherwise.
3. Accounts and authentication
Staff accounts are personal and invitation-only. Users must keep passwords, authenticator codes, passkeys, devices, and recovery methods secure; must not share accounts; and must promptly report suspected compromise. Microsoft or Google sign-in does not create a membership by itself and must match an existing invitation.
A victim workspace is tied to a preapproved tag and protected by the authentication methods offered during enrollment. The first successful tag claim does not independently prove identity. The workspace remains sealed until an authorized advocate reviews and releases it.
4. Acceptable use
Users may not:
- Access or attempt to identify a case, person, organization, or tenant without authorization.
- Share, copy, sell, publish, or misuse a QR secret, credential, confidential message, or protected record.
- Upload malicious code, probe security controls without written permission, interfere with availability, or evade rate limits and lockouts.
- Use the service to harass, threaten, surveil, impersonate, or locate another person.
- Enter evidence, files, offender-tracking data, or other content the service is not designed and approved to hold.
5. User and organization responsibilities
Users are responsible for the accuracy and lawful handling of information they submit. Participating organizations are responsible for authorizing personnel, configuring collection fields, assigning cases, training users, responding to access alerts, establishing lawful retention and disclosure procedures, and promptly removing access when it is no longer appropriate.
Organizations must not configure forms to collect information without an approved purpose, authority, sensitivity classification, and retention class. Victim-service and other protected information must be handled under all applicable confidentiality and informed-release requirements.
6. Messages, appointments, and notifications
Messages and appointments are support tools and may not be monitored continuously. Delivery, receipt, or timely response is not guaranteed. External notifications are optional, use neutral wording, and may still be visible to someone with access to the destination device or account.
7. Suspension and termination
Access may be suspended, revoked, or limited to protect a person, investigate suspected misuse, respond to an organization’s instruction, comply with law, or maintain the security and availability of the service. A tag can also be revoked, replaced, suspended, or closed.
8. Service availability
The service may change or experience interruptions. We work to protect and restore the service but do not promise uninterrupted availability or that every feature will be error-free. Users should follow their organization’s approved fallback and emergency procedures when the service is unavailable.
9. Intellectual property and feedback
iDefynMe and its software, visual identity, and service materials are protected by applicable intellectual-property laws. These terms do not transfer ownership. Feedback may be used to improve the service, but feedback should not include victim information, case details, QR secrets, credentials, or other confidential content.
10. Applicable agreements and law
A written agreement with a participating organization may add requirements for confidentiality, records ownership, retention, security, support, and liability. If that agreement conflicts with these public terms, the written organization agreement controls for that organization to the extent permitted by law.
Applicable federal, state, tribal, and local law continues to govern. Nothing in these terms waives a person’s privacy, confidentiality, consumer, or other non-waivable legal rights.
11. Changes and contact
We may update these terms as the service changes. The effective date will be updated, and material changes will be communicated when appropriate. Questions can be sent to preston@idefynme.org.
